Neurobehavioral Training Institute (QBISP)
Automated Certification Renewals
for a Brain Injury Training Program
The Neurobehavioral Training Institute runs QBISP, a live, interactive training program that teaches direct care staff to support people with brain injuries and challenging behaviors. We built and run the system behind it: one database that tracks every student, class, trainer, and certificate, with automated annual renewals, online quizzes, and one-click certificates. The public site is at qbisp.training.
The Challenge
Thousands of Certificates That Expire Every Year
QBISP certificates are not one and done. Every Provider, Mentor, and Trainer certification renews each year, and the program serves thousands of direct care workers across residential programs in many states. Each renewal means a reminder, a refresher course or self-study quiz, a passing score, a new certificate, and an invoice.
Keeping up by hand meant scattered quiz links in old emails, a costly PDF tool, and phone numbers that changed as often as staff bought new prepaid minutes. A student could pass a quiz and never get a certificate because a record was stuck in the wrong status, and the team had no quick way to see who was current, expiring, or lapsed.
A small team needed the paperwork to run itself so they could focus on teaching.
The Solution
One Database That Runs the Whole Certification Cycle
We built QBISP's operations on a single Airtable base that holds every student profile, class, grade, trainer, employer program, and renewal. Trainers register classes and students through a portal, and the step-by-step instructions for each course live in the same data.
Renewals run on automations. Before each anniversary date, students get an email and a text with a link to a one-page self-study lesson and a 10-question quiz. A score of 8 or better marks them as passed, creates the class record used for billing, and queues a certificate. Staff review it and release it with one click, and a branded PDF is built and emailed to the student.
We meet with the QBISP team regularly, fix edge cases as they come up, and keep improving the system. That has included replacing the old certificate tool at less than a third of the price, cleaning bad numbers out of text reminders, adding a renewal dashboard, and setting up English, French, and Spanish lesson folders. In 2026 the focus shifted to growth: a refreshed public website built to turn conference contacts into customers, with clearer positioning, prominent testimonials, and SEO for both Google and AI search.
Inside the Certification System
What the System Does
Single Source of Truth
Students, classes, grades, trainers, employers, and programs live in one linked database: nearly 7,000 staff profiles and almost 10,000 course results.
Automated Renewal Reminders
Email and text notices go out ahead of each anniversary date, and every message is logged against the student's record.
Self-Study Refresher Quiz
One scrolling lesson, a Take Quiz button, and 10 questions. Score 8 or more to pass. Miss it and a Retake Self-Study button sends you back to the lesson.
One-Click Certificates
Passing scores queue a certificate. Staff review it, click once, and a branded PDF is generated and emailed to the student.
Trainer Portal
Trainers register classes and students and follow course-by-course instructions, all reading and writing the same data the admin team uses.
Renewal Dashboard
Recent renewal activity and status changes in one view, so the team can track who renewed, who is expiring, and who needs a nudge.
